Worktypes are like templates for jobs to make order entry a little quicker for standard types of jobs.
From the Main Menu select Printing then Print Shop Setup then Worktypes. Your screen will look similar to this:
To select an existing worktype to be edited, select from the drop-down list. Then click on the Edit button.
To add a new worktype, click on the Add button.
Whether adding or updating, your next screen will look similar to this:
Name: The name should be a brief name for the product. Since you also have subgroups with names, this should be a general grouping such as "Envelopes"
Description: A full description of what this type of work consists of (more important the more complex the type of work).
To delete an existing worktype, click on the Delete button.
When you have entered this information, click on the Next button. Your next screen should look like this:
At first, you will see a list of subtypes already entered, and you can Edit these, Delete them, or click on the Add New Subtype button to create a new one.
If you Add a new subtype or Edit an existing one, your screen will look similar to this:
NOTE: you can only edit one subgroup at a time, so pay attention to which one you are editing! The one your are editing will save "editing" next to the listing and it repeats the name above the one you are working on (these have been circled in red on the above screen display to make this clearer).
Subtype Name: The name should be a brief name for the product.
Description: A full description of what this type of work consists of (more important the more complex the type of work).
Usual Number of Parts: How many stocks are usually required.
Can be subcontracted: Is this a job type that is Never, Always, or Sometimes vended outside.
Usual Days to Complete -- Up to Quantity This will be the default turnaround days for this type of work. To add a new quantity and days, click on the Add New button directly below this section.
Family Functions this Subtype can Use: By specifying functions (bindery, prepress, graphics, etc.) that can be a part of this type of work, you can prevent other questions from appearing during order entry. If you select no functions, then all will be included.
Category: This refers to inventory categories. If, for example, you had a worktype that could only use bond paper, and your inventory had a special category for bond paper, you could limit inventory choices during inventory entry to just that category of stock.
Part No.: If only a single type of stock is ever used for this type of job, then you can select a specific inventory item that will be the one to be used.
At the bottom you can either Add a new Subtype or click on Update Worktype to SAVE your work.
